Introduction
Recognizing that many sessions are often facilitated by more than one individual, we support multiple facilitators in a single session.
Key Concepts
Multiple Facilitators: A session can now have more than one designated facilitator, all with the same level of permissions.
Assigned Facilitator: Each participant within a session must be assigned to one specific facilitator within that session. This assignment determines who the participant should contact with questions and which facilitator receives participant-specific notifications.
Adding Facilitators
Facilitators already assigned to the session, and Center Administrators for the center assigned to a session can all add facilitators to a session.
From within a session, open the Session Options Menu, and select Add Facilitator.
A modal window will appear, displaying a list of available users who can be added as facilitators. You can select from that list, or, if the user you want to add is not present in the list, you can specify the email address of the user directly.
Click the "Add" button.
An email will be sent to the selected user (or the email address you manually entered), letting the facilitator know that they have been added to the session, along with a link to the session itself.
Assigning Facilitators to Participants
Each participant in the session must be assigned to one of the session's facilitators. By default, when a new participant is added to the session, the facilitator that adds the participant will be listed as the assigned facilitator for that participant.
To change the assigned facilitator for a given participant, first make sure you are viewing the participant record that you want to change, open the Participant Options Menu, and select Change Facilitator.
A modal will open, where you can change which facilitator inside the session should be assigned to this specific participant.
Facilitator Permissions
All facilitators associated with a session, including the original facilitator and any subsequently added facilitators, have the same permissions. This includes the ability to:
Assign forms to participants.
Send documents to participants.
Sign forms.
Removing Facilitators
Facilitators can be removed from a session, but there are important restrictions:
A session must always have at least one facilitator. The last remaining facilitator cannot be removed.
A facilitator cannot be removed if they are currently assigned to one or more participants. You must first reassign those participants to a different facilitator.
To remove a facilitator, open the Session Options Menu, and select Remove Facilitator.
A modal will open, where you can select the facilitator you would like to remove. Select the facilitator you would like to remove, and click Remove.
