As of the start of 2025, all Oregon Service Centers need to submit quarterly data to the state (OHA), both demographic-level data and session-level data.

To ensure you have everything you need to submit, there are 2 key pieces of information that needs to completed in each and every session from that quarter:

  1. The SB303 Client Data Form - this is part of the required documents in the Preparation tab of a session. This only needs to be completed by the client. Make sure this is completed each time.

  2. The Administration tab Details - After an administration session, go to that tab of the session and click 'Edit' to collect all of the necessary fields required for SB303 reporting. This also moves the status of a session from 'Ready' to 'Post-Journey'.

Warnings

We provide a couple of warnings for sessions that have dates in the past, but that haven't moved to a status of 'Post-Journey' or 'Completed' yet (meaning they have missing information.

  1. You'll see a warning triangle next to a session. If you hover over it, you see the warning message.

  2. At the top of the Reporting page, you'll see a warning message with how many sessions from the quarter that were scheduled but not completed with the necessary information.

These are indicators to review those Sessions for validity and make sure to get everything completed (or have the facilitators do that) so that your SB303 submission is complete.
