Session Participants can be moved from the session they are in to either another existing session or a new session. This can be useful in the following scenarios:
The participant was originally in a group session, but needs to be moved to an individual session
The participant needs to be rescheduled from an individual session into a group session
The participant needs to be moved from one group session to another group session
How to move a participant
From within a Session, select the participant you want to move from the Participant dropdown menu.
Click the Participant Menu next to the Participant's name, and select Move Participant
You will see a Dialog that allows you to select either an Existing Session, or a New Individual Session. Make your selection, and then click Move Participant.
Things to know:
Flexible Destination Options: Participants can be moved to an existing session (group or individual) or to a newly created individual session.
Existing Session Restrictions: Participants can only be moved to sessions that are scheduled in the future.
Facilitator Continuity: The participant's assigned facilitator is preserved during the move. If this facilitator is not already associated with the target session, they will be added to its list of facilitators.
Data Preservation: All fields, including medication dosage, observed reactions, and pre-session agreement status, are preserved and moved as-is. Associated forms and questionnaires also move with the participant, retaining their current statuses.
Pre and Integration Session Migration: The feature intelligently handles support sessions linked to the moved participant. If the participant was the sole individual in a support session, the entire support session is re-associated with the new target session. If other participants were in the support session, a new support session is created for the moved participant, duplicating the original details and linking to the new main session.
Center Consistency: All moves are restricted to occur within the same center as the source session. If the source session has no center, it is allowed to move the participant into an existing session with a Center assigned. If the source session has no center and you elect to create a new session, the new session will also not be associated with a center. You can assign a center after the new session has been created.
Source Session Updates: If the Source Session has 2 participants, and you move one of them away, it will be converted to an Individual Session. If the Source Session has 1 participant and you move that 1 away, the Source Session will be deleted.
Target Session Updates: If the Target Session is an Individual Session, it will be converted to a Group Session when the participant is moved into it.
Role-Based Permissions:
Center Administrators can move participants between sessions within the same center.
Facilitators can move participants between sessions they facilitate. If the source session has a Center, the target session must have the same Center.
