Deleting Records & Removing Participants

At some point, you may have started a session that never ended up happening. In that instance, if you don't need any of those documents moving forward, you can delete the record.

Side note for Oregonians regarding SB303

For those in Oregon, this may be advisable so you don't forget that this was cancelled, and then try to count them at the end of the quarter for SB303 reporting. (Reminder: Althea only reports on sessions in a status of Ready, Post-Journey, or Completed to ensure sessions that didn't happen aren't counted.)

There are a few ways to do delete records or get them off your books:

Deleting Sessions

Facilitators can delete a session record from the Sessions screen. For Sessions, click on Sessions on the left, and then click on the trash can icon next to that session:

Similarly, you can delete a session from within the Session record by clicking on the trash can icon in the upper-right hand corner from within the session.

Unassign the Center - allowing centers to get sessions off their books

Center Admins cannot delete sessions; however, they can Unassign the Center (from the top 3-dot menu within a session). If there is a session from the past that didn't occur, and you don't want to wait on the facilitator to delete it, you can simply unassign it from your center, effectively ridding it from your books.

Deleting Client Records

To delete client records, facilitators can do the exact same action either on the Clients tab or within the client record itself, exactly as you saw above.

Group Sessions - Removing Participants

If a particular participant was unable to participate in a group session, you don't want to delete the whole group. Instead, you can simply remove that participant from that group session. This will delete their portion of the Session record. You can do that here:

Who can delete records?

Client records are owned by whoever created them and can only be created by that individual.

Session records can only be deleted by the facilitator.
