Managing Rooms for Your Center

Overview

Center Administrators can create and manage rooms for their center. Rooms help facilitators coordinate where sessions take place and prevent scheduling conflicts. Each room can have default booking times, which automatically pre-fill when facilitators schedule sessions, and can be marked as closed on specific days of the week.

Who Can Manage Rooms?

Only Center Administrators can create, edit, and delete rooms. Facilitators can view room availability and reserve rooms when scheduling sessions, but cannot modify room settings.

Accessing Room Management

1. Navigate to your Center from the main dashboard

2. Select Rooms from the sidebar menu

3. You'll see a table of all rooms for your center, including each room's name, default times, and weekly availability

Creating a Room

1. Click the Create Room button

2. Enter a Room Name (required)

- Room names must be unique within your center

3. Optionally set Default Start Time and Default End Time

- These times automatically pre-fill when facilitators reserve this room for sessions

4. Set the room's Weekly Availability — by default the room is available every day of the week. Click any day to mark it closed. See Weekly Availability below for details.

5. Click Create to save the room

> Tip: Setting default times saves facilitators time when scheduling. For example, if a room is typically used from 9:00 AM to 4:00 PM, set those as the defaults.

Editing a Room

1. Find the room in the table

2. Click the Edit button (pencil icon)

3. Update the room name, default times, or Weekly Availability — all three are edited in the same modal and save together

4. Click Save to apply changes

Deleting a Room

1. Find the room in the table

2. Click the Delete button (trash icon)

3. Confirm the deletion in the dialog

> Note: Deleting a room does not affect past session records that used that room.

Weekly Availability

Weekly availability lets you mark a room as closed on specific days of the week — for example, if a room is only used on weekdays, or if Sundays are reserved for maintenance. A room is available every day by default.

Setting Availability

Availability is managed directly inside the Create Room and Edit Room modals — there is no separate availability screen.

You'll see seven circular day toggles (Sun through Sat). Click any day to toggle it:

- Filled circle — the room is available that day

- Outlined circle — the room is closed that day

The room name, default times, and availability all save together when you click Save. If any change fails to save, none of them are applied.

Already-Scheduled Sessions on a Closed Day

If sessions are already scheduled for this room on a day you're about to close, a warning appears inline in the modal listing those sessions with links to each one. Closing a day does not automatically cancel or move those sessions — they remain scheduled as-is. Review the list and decide whether to reschedule them separately.

What Availability Affects

- Session scheduling — facilitators cannot schedule or reschedule a session into this room on a closed day. The room appears dimmed in the dropdown, and the form blocks submission until a different room or date is chosen.

- Standalone calendar events — Center Administrators can still create standalone events (maintenance, private bookings, etc.) on closed days. Availability only gates session scheduling.

- Existing sessions — closing a day has no effect on sessions already on the calendar.

The Availability Column on the Rooms Table

The rooms table shows each room's weekly availability as seven circular badges (Sun through Sat, left to right). Filled badges mean the room is available that day; outlined badges mean it's closed. You can see at a glance which rooms are open on which days without opening each one.

Default Times Explained

Default start and end times are optional settings that:

- Pre-fill the time fields when a facilitator selects the room during session scheduling

- Help maintain consistent booking patterns

- Reduce manual data entry for facilitators

When a facilitator selects multiple rooms with different default times, the system automatically expands the time window to accommodate all rooms (using the earliest start time and latest end time).
