Billing Through a Center's Payment Account

When a center you facilitate at extends its payment accounts, you can invoice clients into the center's account without a merchant account of your own.

If a center you work with turns on Extend payment accounts to facilitators, you can bill your clients through the center's payment account. You do not need to complete Althea's payments application yourself. This article covers where those accounts show up, what you and your clients see, and what changes if the center turns it off.

Where the center's account appears

Wherever you create an invoice, the center's accounts appear in the Payment Account field, labeled with the center's name so you always know whose account the client will pay.

  • From a session: open the session's Invoices tab and click Create invoice. The field lists your own accounts plus the accounts of that session's center.

  • From your Payments page: click Create invoice. The field lists your own accounts plus the accounts of every center that has extended them to you.

If you have no account of your own, the center's account is the only choice, and the field still shows it so you can see who is being paid.

Don't see Payments in the side nav, or is Create invoice greyed out? Ask a center administrator whether the setting is on. Once it is, the Payments page and Create invoice light up with no setup on your side.

What your client sees

Your client is invoiced by the center. The invoice email, the pay page, and their receipt name the center's payment account, not you. They pay exactly as they would any other Althea invoice.

What you can do with your invoices

While the center's account is extended to you, an invoice you created through it works like any other invoice of yours. From the row menu on your Payments page or the session's Invoices tab you can Edit, Send / Resend, Record payment, Refund, and Cancel.

You receive an email when a payment is received or fails, and when a refund is issued or fails, on the invoices you billed. The center's administrators receive them too.

Privacy between facilitators: you only ever see invoices you created. Other facilitators at the center cannot see yours, and you cannot see theirs. Center administrators can see and manage every invoice on the center's accounts, including yours. However they cannot see invoices that you bill to your own payment account. Those remain private to you.

Your Payments page

Your Payments page shows your own invoices and the ones you billed through a center, together. The Paid to column names who receives the money (you, or the center) and the Account column names the account. When your invoices span more than one account, an account selector in the page header scopes the chart, the summary strip, and the table to one account at a time.

Marketplace bookings

If you have a marketplace profile, the center's account can receive your bookings:

  • No account of your own: the center's account is used automatically. The accept confirmation shows the payee under Payment routing before you commit.

  • Your own account as well: the accept confirmation asks Which account should receive this booking? Pick one; the extended one is labeled "Extended to you by" the center. Accept stays disabled until you choose.

The choice is per booking; nothing is remembered. The seeker's payment splits as usual: Althea's platform fee, then the remainder to the account you chose. See Managing Your Marketplace Bookings for the rest of the accept flow.

If the center turns it off, or you leave the center

Your access to create and manage invoices through the center's account ends immediately. What you keep:

  • Read access, permanently. Invoices you billed through the center stay on your Payments page and in the session's Invoices tab, with their status and payment history.

  • Payment and refund emails for those invoices.

What you lose:

  • Sending, editing, cancelling, and refunding those invoices. The center's administrators can still do all of that.

  • The center's account as a choice for new invoices and new marketplace bookings.

Outstanding invoices are not cancelled; clients can still pay them, and the money still goes to the center's account.

Things to know

  • Recurring invoices can only use an account you own. Create Schedule stays disabled unless you have one.

  • You cannot create an invoice on another facilitator's behalf. Every invoice is attributed to whoever created it.

  • If you are also an administrator of the center, invoices you create from the center's Payments page are the center's own, not billed through the extension; invoices you create from a session you facilitate are billed through the extension.
